How long do I keep my email account after I graduate/leave UGA?
UGA Students
- All students are guaranteed use of their MyIDs for two semesters after leaving the University, for whatever reason (graduation, drop out, etc). After those two semesters your MyID will eventually be deleted. Plan ahead to set up a 3rd party email account with a provider such as gmail, yahoo, hotmail, etc.
- Alumni Accounts: Permanent UGA Alumni e-mail accounts are available through the UGA Almuni Association. Keep in mind that these email addresses are not MyIDs. EITS is not responsible for their creation or management whatsoever. UGA Faculty/Staff
- UGA Faculty and Staff member MyID accounts have no guarantees attached to them. Once an individual leaves UGA, the MyID will be deleted during the next MyID Deletion unless a specific request is made to delete the account immediately.
Retired UGA Faculty/Staff
- Retired Faculty/Staff member MyIDs are permanent.
How do I set up a third-party email client to check UGAMail?

Can you increase my UGAMail quota?
The EITS Help Desk can increase email quotas in cases where it is absolutely necessary. Please note:
- Faculty/Staff are typically limited to a maximum of 75 megabytes of space
- Students are typically limited to a maximum of 50 megabytes of space
Call the Help Desk at 542-3106 if you are interested in increasing your quota.
Requests for larger than the above quotas must be submitted in writing to the Help Desk via a web request. Include contact information and the reason(s) why more space is needed. The requests will be processed on a case-by-case basis.
How do I forward my UGAMail?
- Go to http://www.ugamail.uga.edu/
- Login with your MyID and password
- Click on "Options"
- Click on "Forwarding"
- Input the full address you wish to forward your e-mail to
- Make sure you click "keep a copy of each forwarded message" if you want a copy to remain in your UGAMail account before being forwarded
- Click "Start"
How do I filter or block junk email (SPAM) in UGAMail?
SPAM is an issue all over the world. Fortunately there are ways in UGAMail to filter out junk mail from your account. For step-by-step instructions on setting up message filters, and general information about spam at UGA, go to:

I'm going on vacation. How do I set the automatic reply vacation tool in UGAMail?
To set your vacation message in UGAMail:
- Log in to webmail at www.ugamail.uga.edu.
- Select "Options" over on the left side of the screen.
- Select the "Automatic Reply" from the menu. Enter an auto-reply message.
- Click "Start" to begin the auto reply
- To stop the auto-reply, follow the above three steps and click "Stop" on the fourth step.
How do I save my UGAMail on my local hard drive (archiving)?
To save a single message to your hard drive using webmail (ugamail.uga.edu), follow the instructions at:

There is no fast way to do this for all of your messages. Archiving your inbox from UGAMail requires that you set up an IMAP client such as Thunderbird, Outlook, Netscape, or Outlook Express. Then, you can set up local folders and move your messages from the UGA email server to your local machine. This is not a readily portable solution. If you ever need to move your mail from your machine, you'll need to back up the profile for the program that was used, although there are tools offered to assist you in this process. How do I back up my profile in Thunderbird?
A third party tool, recommended by Mozilla, will allow you to back up your Thunderbird Profile, which stores important configuration settings and messages. This tool is particularly user-friendly, so it is recommended for very inexperienced users to request assistance from your inhouse departmental tech support. How do I back up my .pst in Outlook?
Microsoft has a provided a tool to allow you to back up your .pst, which stores messages, contacts, appointments, tasks, notes, and journal entries within Outlook. The tool is available from the Microsoft Office website:

Why am I not receiving new mail and why is my account still over quota despite deleting several messages?
There are many reasons why this may be occurring.
- After deleting messages, they will not be completely erased until you empty your trash. To do this, click on Empty Trash on the left.
- If you do not see the Empty Trash link, but instead see Compact Trash, try gong to Preferences on the left, and choose "Yes" next to the option Delete to Trash. This will create the Empty Trash link for easy and quick deletion in the left menu, and generate a Delete button in your main UGAMail message view.
- The amount of quota your account is using is based upon the size of each individual message, not the total number of email messages in your inbox. Typical, text-only email messages range anywhere from 1Kilobytes up to 10KB, while messages with attachments (messages that have images, Word documents, videos, etc.) can take up a significantly greater amount of space--ranging from 20KB upwards to 20,000KB and beyond. So, one thousand text-only messages equals only 1,000KB, while a single email message with an MP3 attachment can be sized to around 4,000KB. Students have 20,000KB by default, while Faculty and Staff have 50,000KB. If you have very large messages with attachments in your account you no longer need, delete them first.
- Every folder in your account that contains messages are subject to your quota. Click on Folders in UGAMail to visit other folders, such as the Drafts and Junk Mail folders. By default, a copy of every message sent through UGAMail is saved into your "Sent" folder--including messages you have sent with attachments. These messages should be cleared out periodically when they are no longer needed.
Why can't I send email using an IMAP/POP program such as Outlook, Netscape, or Thunderbird from home?
- Off campus IMAP/POP users should use your Internet Service Provider's outgoing or SMTP server. Most ISPs require that all mail be sent through their own SMTP mail server, and not UGAs.

- ISP homepages typically provide this information
People are saying that they received strange emails from me that I never actually sent. How is that happening? Has my account been compromised?
Your email address may be getting spoofed and used in the header of a spam message. Spoofing is just a way that spam can be made to look like it came from other email addresses (including UGA emails) when in reality it did not. Nine times of out ten this is what is happening, and you can simply tell people that you never sent the messages and it is best to ignore and delete them.
However, if you fear that someone has actually been using your username and password to gain unauthorized access to your UGA email account, then you should call the EITS Help Desk immediately at 542-3106. We will be able to change your password and report the incident to our Infosec group.
Can I get a UGA Alumni e-mail account?
- Permanent UGA Almuni e-mail accounts are available through the UGA Almuni Association. Keep in mind that they aren't MyID-related at all so we do not provide support for creation or management of these accounts..

I need to send a large file to someone, but it's more than 30MB. What can I do?
Websites such as dropload.com or yousendit.com allow you to send larger files (over 30MB) to anyone with an email address. These websites are usually free but require you to register for an account. Once you are registered, you can upload files to an FTP server and specify an email address to send the file to. The person receiving the file will receive an email containing a link to the file which will remain active for about a week. When the user clicks on the link they will prompted to download and save the file to their machine. The file will automatically be deleted upon successful download. Using this method you can transfer files larger than 30MB. Dropload allows up to 100MB files for free.
My account is not over quota, but I don't seem to be receiving new mail! What's happening?
By default, UGAMail Webmail views the first of recent unread message when viewing your inbox. If you have multiple unread emails that continue on to a new page of email messages, you may not realize there is another page available. View the image below:
