Archiving Email in Thunderbird

Archiving email messages is a great way of reducing the amount of space you are using on UGAMail. By storing copies of messages you no longer need immediate access to, you will free up additional quota space. These archived messages will not be available online; however, they will be available the computer of your choice and can be backed up onto some sort of physical media (e.g. a USB flash drive, a cd).

Instructions

  1. If you do not already have it, download and install Mozilla Thunderbird from http://www.mozilla.com/en-US/thunderbird/
  2. Open Thunderbird. Follow the instructions for setting up your UGAMail for IMAP in Thunderbird at http://eits.uga.edu/ugamail/help/configdocs/thunderpc/index.html
  3. On the left side, under the heading All Folders, you should see two or more hierarchal trees: one entitled Local Folders and another for the email account set up in step two (such as UGAMail). Local Folders will contain any message you want saved to your computer and not on the UGAMail server. Right click on Local Folders and add in any folders you will need, such as Inbox or Pictures.

  4. Go to the desired folder under the email account you set up (the inbox of "UGAMail" for example). Highlight any number of messages you want (you can select multiple messages at a time by holding down the "Ctrl" key while clicking individual messages).

  5. Go to Message, then Move, and then Local Folders in the top menu bar and then choose the appropriate folder under Local Folders.
    • Alternatively, you can find Move to by right clicking on a message, or you may drag and drop these messages directly into the Local Folder on the left side.
    • Use Copy To instead of Move To if you want to keep a copy on the server.
