Archiving Email in Outlook

Introduction

Archiving email messages is a great way of reducing the amount of space you are using on UGAMail. By storing copies of messages you no longer need immediate access to, you will free up additional quota space. These archived messages will not be available online; however, they will be available the computer of your choice and can be backed up onto some sort of physical media (e.g. a USB flash drive, a cd).


Instructions

  1. Choose your version of Outlook and follow the instructions for setting up an IMAP email client with UGAMail located here: http://eits.uga.edu/ugamail/help/imap.html
    • Note: The following instructions are for Outlook 2007, but should be similar for earlier versions of Outlook.
  2. On the left side, under the heading "All Mail Items," you should see two or more hierarchal trees: one entitled "Personal Folders" and another for the email account set up in step one (e.g. myid@uga.edu or UGAMail). Right click on "Personal Folders" and add in any folders you will need, such as "Pictures" or "Work Related."

  3. Go to the desired folder under the email account you set up (the inbox of "UGAMail" for example). Highlight any number of messages you want (you can select multiple messages at a time by holding down the "ctrl" key while clicking individual messages).

  4. Click on "Edit" and then "Move to Folder" at the top menubar and then choose the appropriate folder listed under "Personal Folders." You can also drag and drop these messages directly into the Local Folder on the left side.
