Adding a Delegate (Outlook 2010)

Overview

This video will demonstrate how to add a delegate to your personal calendar. Delegates to a UGAMail calendar, depending on the permissions you set, can view, edit, add, and/or delete entries from your calendar, as well as accept meetings and send messages on your behalf. If you need more granular control over an individual's level of access or do not want to give access to accept/reject meetings and send messages on your behalf, please view Changing Calendar Permissions (Outlook 2010).

Important note: These instructions assume you have only one Exchange account set up in your Outlook profile. You may need to create a new profile if you run into issues while using multiple Exchange accounts.

Important note: These instructions assume you have only one Exchange account set up in your Outlook profile. You may need to create a new profile if you run into issues while using multiple Exchange accounts.

  1. Set up your account in Outlook using the Exchange setup instructions.
  2. Open Outlook, then click on the orange "File" tab in the upper-left corner.
  3. Click on the "Account Settings" button in the center column.
  4. Choose "Delegate Access" to open the Delegates window.
  5. Click on "Add. . .," which will open the "Add Users" dialogue.
  6. Type in the first and last name of the individual you wish to add as a delegate and click "Go."
  7. Find the person in the list you wish to add, and double-click on their name. Click "OK" to continue.
  8. After a moment, the Delegate Permissions screen will appear. By default, delegates will have "Editor" access to your account, allowing them to view, create, and modify meetings and appointments in your calendar and for your tasks. Change this to your liking.
  9. You can choose to have Outlook automatically send this person an email notifying them of their delegate access. You may also allow this person to see private appointments you have set on your calendar. Place checkmarks next to these items at the bottom of this window as appropriate. Press "OK" when finished.
  10. Press "OK" to close the Delegates window.
